A rep gets a verbal yes, a request for a revision or a clear “not until next month”. The CRM still sees an open quote and continues its standard sequence. The customer receives a message that contradicts the conversation.

Sent quotes become a long list. Reps remember the biggest opportunities and the customers they know best. Smaller quotes, tender dates and promises to call back have no reliable place in the day.

Why not just switch on automated reminders?

That may be enough for a simple process. It breaks down when replies, phone calls and order updates do not reach the same record. We identify that gap first and use native automation wherever it fits.

Can the system call the salesperson first?

Yes, a supported telephony integration can call the rep, confirm they are ready, then connect the customer. Busy and unanswered calls become explicit outcomes. It is an optional assisted-dialling workflow, scoped against your current phone system.

Will AI send messages without our approval?

No. It prepares a suggested action or draft. Your team reviews customer-facing email and SMS. Confirmed outcomes update the CRM, so the next reminder reflects what actually happened.
